Application for Registration of NGO (Form 3)

This form is to be completed by any organization seeking registration under the Non-Governmental Organizations Act, 1990. Applicants are therefore advised to obtain and familiarize themselves with the Non-Governmental Coordination Act, 1990 and the Non-Governmental Organizations Regulations 1992.

Application for registration will be submitted to the Executive Director, NGOs Coordination Board, P.O Box 44617 – 00100, Nairobi, Kenya.
Three original application forms must be accompanied by the following:-
a) Personal particulars for the three top officials in the prescribed form see (Part III 1-3).
b) Each official must complete as directed on the Form. Three copies of the proposed organization constitution signed by the three top officials. Two current colored passports size photographs of the applicants. A copy of ID for Kenyan Official and Passport for foreigners. A notarized certificate of registration outside Kenya/incorporation in Kenya (if applicable)
c) A copy of minutes of the proposed organization authorizing the filling of the application. A notification of location of the office and the postal address of the proposed organization Form 1 signed by the three top officials of the proposed organization.
d) The application fee payable to the Executive Director NGOs Coordination Board as specified in Regulation 33. No organization will be allowed to operate as an NGO in Kenya without a certificate of registration issued by the NGOs Coordination Board
e) A registered organization will be subject to all the Laws of Kenya . While filing these forms the officials confirm and certify that they have read and understood the conditions and further confirm that the information they have given is true to the best of their knowledge. That untrue information would be subject to cancellation of the registration certificate.
f) This form is for the purpose of registration only (other issues i.e. application for work permit, tax and duty exemptions will be handled separately) but processed through the NGOs Co ordination Board

Notification of Change of NGO Name (Form 16)

To effect the change of name, a Non- governmental organisation fills this document.
The provisions include the supply of the proposed new name from the old on the strength of the minutes taken from a meeting held by the organisation as provided under the provision of paragraph (1) of Regulation 21 of the Non- governmental Coordinations Regulations.
The organisation also provides the names of three registered officials together with their designation and their signatures.

Notification of Change of NGO Office Bearers (Form 13)

In this form the organisation provides the NGO’s Co-ordinating Board with the changes of names of the outgoing organisation officials or title of officers and their signatures as well as give those of incoming officers.
This is done in accordance with the provisions of the paragraph (1) of Regulation 22 of the Non- Governmental Organisation Co-ordinations Regulations.

Notification of NGO Registered Office (Form 4)

This document is offered to the Non- Governmental organizations looking to change the location for their registered office or contact address.
It is directed to the Executive Director of the Non-governmental Organisations Co-ordination Board.
The desired organization gives notice to the board and fills the Form 4 with details of where it will have its registered office, where it is moving from and to, where it will have its postal address and if it will change its postal address.

NGO Register Form (Form 1)

Organizations requiring registrations has Non-governmental entities are required to fill this form.
The provisions in the forms allow the organisations to record their names, the postal address, telephone number, Email address and website, their physical address, the name of the contact person, the classification or sector of operation of the organization and their district of operation.
The form also provides for the scope of the organisation. Tick appropriately. And finally fill in the date of registration.

NGO Non-citizen Work Permit Endorsement Form

This is filled by non citizen working with NGO to enable them work in the country.
With this 5 page document, the organisation is required to provide alongside its name and both postal and physical addresses, telephone numbers, the name of the non-citizen employee seeking the work permit, their job title, residential address, passport number, nationality, sex, age, level of education, profession, contract duration, application type whether new or renewal.
It should further provide category of contract, annual salary and other benefits. This should also include the reasons for seeking the expatriate and what specific job requirements for the expatriate position.
The organisation also fills in the document if it has offered an understudy for the expatriate, and gives their full names and position as well as academic and professional qualifications of the understudy.
